The Opportunity

The Administrative Assistant to the Executive Vice President of Sales is a crucial and multifaceted position. You will provide administrative and comprehensive support to a high-level executive in the sales and marketing department for a leading global beauty brand, partnered with leading global beauty retailers; a fast-growing Top 15 companies on the rise. This remote role, although ideally located within Orange County, California, serves as a key liaison between the Executive Vice President (EVP) and various internal and external stakeholders, helping to streamline communication, coordinate projects in liaison with cross-functional departments, manage administrative tasks, and ensure the smooth functioning of the EVP's office.

What You’ll Do

Administrative Support

  • Manage the EVP's schedule; coordinating appointments, arranging meetings, and organizing travel arrangements. Ensure meetings and appointments are well-coordinated, resolve scheduling conflicts, and send out meeting invitations.
  • Manage, filter, and prioritize incoming correspondence, emails, and phone calls; draft and proofread emails, letters and other correspondence on behalf of the EVP, handle sensitive information and ensure it is handled in a discreet and professional fashion.
  • Ensure the EVP is well-informed of upcoming commitments and responsibilities and ensure information flow happens in a timely and accurate manner.
  • Complete critical aspects of deliverables with a hands-on approach that facilitates the EVPs ability to effectively lead their teams and departments. 

 

Project Coordination and Communication

  • Prepare reports, presentations, and other documents such as meeting preparations materials and meeting minutes and provide follow-ups and distribute materials to cross-functional teams
  • Conduct research, collect data and prepare reports to aid in decision-making. Assist with tracking project milestones and deliverables and coordinate cross-functional teams.
  • Maintain an organized and succinct filing system
  • Draft and proofread sensitive and confidential communications, personal correspondences, acknowledgment letters, and business documents while maintaining a high-level of confidentiality and exercising professional discretion
  • Act as trusted liaison between the EVP’s office and internal departments, demonstrating leadership to maintain creditability, trust and support with Senior Management
  • Suggest and determine appropriate courses of action, referrals and/or responses to incoming concerns and issues with tact
  • Work with cross-functional teams such as the Sales and Marketing teams to support with programs and marketing collateral for events, trainings and more.

Who You Are

  • Bachelor’s degree in business administration, communications or related field
  • 2-5 years’ experience supporting executive leadership or upper management in an administrative capacity
  • Strong interpersonal skills and ability to build relationships with senior leaders and upper management
  • Expert level written and verbal communication skills
  • Demonstrated proactive approach to problem-solving with a strong ability to make appropriate decisions in a timely manner
  • Ability to prioritize conflicting deadlines and projects, handle matters expeditiously, proactively and with proper follow-through 
  • Resourceful team-player with the ability to be effective independently
  • Proficient in MS Office (Outlook, Word, PowerPoint, Excel) Adobe Acrobat, and Social Media platforms
